Contact and booking information
When you contact us by email, phone or text, we receive the contact details and information you choose to provide. We use that information to respond and discuss or arrange services. Please avoid sending sensitive health details or payment-card information through ordinary email or text. Health intake takes place in person.
Booking links open Acuity Scheduling, where your name, contact details and appointment information are collected to arrange your visit. Payments and saved-card processing are handled through the connected payment service, Square. These services have their own privacy practices.
When booking bodywork or EFT through Acuity, you are asked to acknowledge the cancellation policy and authorize applicable cancellation or no-show fees. Acuity records this required acknowledgment with the appointment. This booking acknowledgment is separate from your in-person health intake and any choice about promotional communications.
If you book through another booking platform, that platform and the connected scheduling system process information needed to arrange your visit. That platform's service and privacy terms also apply.
In-person health intake
Health intake takes place in person. Erik records relevant information in paper session notes (SOAP notes) to support the services you request. The online booking process does not ask you to complete a health-history form. Please discuss health information with Erik at your appointment rather than sending it through ordinary email or text.
An optional online health form was previously available through Acuity. If you submitted answers while it was available, those answers may remain in appointment records or related notifications. Removing the form from booking does not automatically erase earlier responses. Contact Erik with questions about information you previously submitted.
Client records and retention
Relevant information discussed or provided during intake and sessions may be recorded to support the services you request. Paper client records are kept at Erik's home, with access limited to Erik, and are shredded when eligible for disposal.
Our retention policy for session-specific massage records is two years after each individual appointment, with longer retention where required by applicable obligations or a relevant claim, complaint or preservation requirement. A later appointment does not restart that period for an earlier session-specific record.
This period does not set the retention period for every type of business information. Appointment history, payment and accounting records, correspondence, records used for more than one visit, and information maintained by service providers may have different retention requirements. It does not mean every copy held by a provider is automatically deleted on the two-year date. Contact Erik with a question about a particular record.
Information involved in website visits
Our website hosting provider, Netlify, processes technical requests needed to deliver the website and support its operation and security. These requests can include information such as an IP address, requested page and browser details.
The website loads its fonts from Google Fonts. Your browser contacts Google's servers to request those resources, which involves transmitting network and browser information needed to deliver them.
The website does not currently include advertising pixels, session-replay tools, embedded maps or videos, a newsletter signup, or website analytics scripts. Booking and review links take you to external services. Those services may use cookies or other technologies under their own policies. This policy does not promise that all services you reach from the website are cookie-free.
How information is used and shared
We use information to respond to inquiries, arrange appointments, provide requested services, manage payment and scheduling, maintain relevant records, operate the website and meet applicable obligations.
Services used for these purposes include Acuity Scheduling for appointments, booking acknowledgments and related messages; Square for payment processing; Google Workspace for business email; and Google Calendar for appointment coordination. The website uses Netlify for hosting and Google Fonts for typography. If you use another booking platform, it also participates in arranging your reservation.
Relevant information is handled by these providers for their roles in delivering the services. Information may also be disclosed where required by law or at your request. Their policies and terms explain their own processing practices. Contact Erik with questions about a particular disclosure or provider.
Positive Pressure does not share client or session information with referral practitioners or insurers.
Appointment messages and planned promotions
Acuity handles appointment-related confirmations and reminders. When text reminders are enabled, they are sent only if you opt in through the booking process. Acuity also sends Erik SMS notifications about bookings and cancellations to help him manage the schedule. These service messages are separate from promotional email and text messages.
Positive Pressure plans to introduce promotional communications, including information about future price changes and eligible existing-client arrangements. Promotional email and text campaigns are not currently active. Before introducing them, we will explain the available choices and how to stop receiving those messages, obtain any required permission, and update this policy to identify the services used. Booking an appointment does not automatically enroll you in a new promotional campaign.
Questions and requests
Contact Erik using the details above if you have a privacy question or would like to ask about, correct, obtain a copy of or request deletion of information you have provided. We may need to verify your identity before responding. Available rights and the response to a request depend on applicable law and any records we are required to preserve. A deletion request does not necessarily permit removal of every record immediately.
External links and changes
Our website links to external booking and review services, including Acuity, Google and Yelp. Review their privacy information when you use those services. We will update this policy as our practices change and identify the effective date of the published version.
